1. Introduction
PaperVault values your privacy. This Privacy Policy explains how we handle your data when you use our iOS application, PaperVault. PaperVault is designed local-first: your documents live on your device, and everything beyond that is optional and under your control.
2. Data We Collect
PaperVault is designed to prioritize user privacy:
- Scanned documents, their images, recognized (OCR) text, and metadata are stored locally on your device.
- We do not collect your name, email address, or contacts. Signing in with Apple supports Apple’s private relay email addresses.
- We do not track you across apps or websites, and we do not sell data to anyone.
3. AI Features
PaperVault offers optional AI assistance (for example, suggesting a title, category, and tags for a scanned document, or answering questions about your documents). When you use these features, the relevant document image or text is sent over an encrypted connection to our server, which forwards it to Microsoft Azure OpenAI Service for processing. This content is used only to produce the response returned to your device: we do not store your document content on our servers, and per Microsoft’s Azure OpenAI data policies it is not used to train AI models. AI requests are rate-limited per user to prevent abuse.
4. Cloud Sync (Premium Feature)
If you enable cloud backup, your documents and their metadata are encrypted on your device before upload and stored in encrypted form. They are accessible only from your account (Apple ID sign-in) and are not shared externally. You can delete your cloud data at any time from within the app.
5. Optional Vault Encryption
You may enable the Vault, which encrypts your document files at rest on the device with a key protected by your PIN, Face ID, and a recovery key. When the Vault is on, PaperVault also removes your documents from the iOS system search (Spotlight) index so their contents cannot be read outside the Vault’s lock. If you choose to back up your recovery key to the cloud, it is stored as an encrypted blob that we cannot read without your recovery key.
6. On-Device System Search
To let you find documents from iOS system search, PaperVault can add document titles and text to the Spotlight index on your device. This index never leaves your device and is fully removed if you enable the Vault or delete your documents.
7. iCloud Drive Backup (Optional)
You may opt in to mirroring your documents to a PaperVault folder in your own iCloud Drive. That data is governed by your Apple account and Apple’s iCloud terms; we have no access to it.
8. Third-Party Services
PaperVault uses the following service providers:
- Google Firebase (authentication, encrypted cloud storage, crash reporting): an anonymous account identifier is created so the app can function before you sign in; crash reports include non-personally identifiable device and usage data that help us fix problems.
- Microsoft Azure OpenAI Service (AI features, as described in Section 3).
9. No Advertising
PaperVault does not use any advertising SDKs or serve ads within the app.
10. Your Data, Your Control
- You can delete any document, or all documents, at any time.
- You can delete your account and all associated cloud data from within the app (Settings → Account → Delete Account). This permanently removes your documents, images, and profile from our servers.
- You can disable cloud sync, AI features (by not using them), Spotlight indexing (by enabling the Vault), and iCloud backup at any time.
